Conference Planning Services

Considering hosting a conference, institute or large event? Continuing Education at The University of Montana looks forward to serving as your professional event planning partner. Our highly experienced staff possess the proven skills to coordinate and manage all levels of professional conference and meeting management services. In addition, CE staff can promote and market your event, develop interactive websites, facilitate online registration, and work with University Relations media outlets to promote your event. CE staff members have proven experience in coordinating complex local, national and international meetings, including culturally sensitive events for minority groups, including Native Americans and international groups.

 

In addition to logistical support CE's technical staff include expert trainers and facilitators with experience in:

•  serving on or chairing Steering Committees
•  designing and moderating panel sessions
•  moderating full-service conferences
•  conducting professional training sessions
•  designing and analyzing evaluation instruments, including technical content presented at the event
•  providing professional advice throughout the planning process

 

CE provides a full range of accounting services and works with event organizers to identify cost-saving strategies, without compromising the quality or support for your event. CE develops and manages conference budgets, processes reimbursements for honoraria and travel for speakers, develops and provides advice about registration fees, collects fees, processes invoices, assists with attaining sponsorship for events, and collects sponsor fees. CE can tailor a realistic financial plan to meet your budget requirements.

 

Continuing Education staff provide expertise for planning and hosting conferences, institutes, large and small meetings for associations, professional groups, etc., including:

•  Conference pre-planning services for academic program planners

•  Budget development, monitoring and accounting

•  Meeting planning support, including logistics, lodging accommodations and food arrangements, coordination and communication with speakers, provision of and support with various technology/ media and meeting space

•  Liaison to coordinate multiple co-sponsors, agendas, and events

•  Expertise in marketing and advertising, including design, production and distribution of marketing materials such as brochures, CDs, websites, fliers

•  Best methods for promotion, targeting audiences, and tracking the success of marketing methods

•  Registration services, including registering participants via mail, telephone, e-mail, internet.

•  Processing of registration payments, including checks, credit cards, etc.

•  Design, production, and distribution of pre-program materials for participants, including confirmation letters, maps, event information, tickets/passes to program events, etc.

•  Textbook ordering and obtaining other published materials for participants/speakers

•  Preparation of program materials, including name badges, participant packets, program booklets, post-conference follow-up materials

•  Provision of on-site meeting management services including participant check-in, trouble-shooting, moderator services, etc.

•  Invoicing before/after events

•  Facilitation of academic credit course proposal approval process and/or Continuing Professional Education approval from professional associations and licensing boards

•  Provision of academic credit registration services

•  Provision of certificates of completion, verification of attendance for Continuing Professional Education (CPE) or Continuing Education Units (CEUs)

 

In addition to planning and management services, Continuing Education is based in a technologically equipped meeting facility that features:

•  3 multimedia conference rooms with state of-the-art audio and video systems

•  Conference rooms to accommodate 4 to 200 people

•  Distance learning classroom with videoconferencing capabilities

•  New mobile computer lab

•  Internet connections available via standard Ethernet connection

•  Audio/video event recording

•  Satellite downlink and TCI cable available

•  Latest technology in AVI

•  LCD projectors, overhead projectors, slide projectors and smart boards
