ASCRC Minutes 11/18/08

Chair Weix called the meeting to order at 2:15 p.m.

The minutes from 10/28/08 were approved.

Communication

ECOS forwarded the following Cumulative Grade Average language to the Senate for consideration.

The cumulative grade average is computed by dividing the total quality points earned by the total number of credits attempted, excluding courses assigned W, WF, WP, CR, NC, NCR, I, AUD, or N grades and courses numbered under 100 (grade is preceded by an R). For repeated courses, excluding courses assigned W, WF, WP, CR, NC, NCR, I, AUD, or N grades, only the last grade earned will count toward the cumulative grade average. Grades for courses transferred from other colleges and universities are not included in the calculation of the grade average for graduation.

ASUM presented a resolution to the Faculty Senate. It supports the extension of the drop date but would like to reinstate the option to add a course between the 11-45th day by approval form. There are financial aid consequences for students who go below a certain number of credits.

Registrar Micus was not at ASCRC when the change to ten days for adding electronically was discussed. He does not support the change. It has implications for enrollment reported to the Board of Regents. It is possible to close courses so that students may not add electronically. There are many reasons why students add late - often they are waiting for financial aid. Thesis and dissertation enrollment often occur late. The electronic drop and add date should remain the same.

Curriculum Review - Business and Journalism
The items on the summary (below) were approved. The College of Technology program modifications were missing signatures of affected programs within the College and in some cases catalog language. The subcommittee chair will follow-up. Radio TV proposed a new course in their curriculum, but did not include a program modification.
Curriculum Review - Forestry and Biomedical Science
The items on the summary were approved. Follow-up is pending regarding RSCN 392 and 393. Course numbers in the 90's are reserved- X93 is Omnibus. The program should choose other numbers.
Curriculum Follow-up - Humanities
The items on the summary were approved.

Curriculum Follow-up - Education and Fine Arts
The summary items below were approved.
Grade Point Average Calculation
ASCRC discussed ECOS' motion. It should specify that all grades will show on the transcript. ASCRC will need to make relevant changes to the ‘Repeating a Course' section in the catalog. The committee voted 10 in favor, 2 opposed, with 5 absent to support ECOS' revision to the cumulative grade point average policy.

Chair Weix will share the vote at the Senate in December and have the peer data available.

Some Universities are adopting a "real GPA" that includes how many students receive the same grade in the course on the transcript. This is intended to address grade inflation.

It was asked whether ASCRC should consider setting a limit on repeats.
Drop/Add Policy Revision
The committee continued to discuss the issues with the drop/add policy revision. ECOS recommended changing the add date to the tenth day without considering all the implications. Often students are advised to drop to a lower math course after the first exam. Academic Affairs is working to develop "Just in Time" courses for students that are doing poorly in courses and need to drop to a lower level. Financial aid, insurance and refunds would all be affected by not allowing students to add courses after dropping courses to maintain the same number of credits.

ASCRC might consider recommending an amendment to ECOS and the Faculty Senate. It could be possible to include a statement that faculty who do not wish students to add their courses electronic up until the 15^th day may have their course closed in Banner. There should be a way for students to add courses after the tenth day with approval by the faculty member.
