Primary Functions

  • Position serves as the office manager for the Chemistry Department providing administrative and clerical support and is the primary administrative support for the Chair; serves as the liaison to other administrative, business, and/or academic units of UM
  • Serves as the department’s budget analyst (Duties include but are not limited to: tracking, processing, and reconciling all accounts and expenditures; preparing financial reports and budgetary projections; serving as the Procard manager)
  • Assists supervisors with all personnel duties (Duties include but are not limited to: developing and providing training; serving as personnel and financial policy/procedure resource)
  • Serves as a member of the Technology Partners Group to communicate information technology needs and assist in the development of the department’s website; acts as the department’s information technology resource
  • Supervises Accounting Associate III position
  • Minimum Job Qualifications

  • High School graduation and four (4) years of related experience, or an equivalent combination of experience and education
  • Required Knowledge, Skills & Abilities

  • Knowledge of professional office practices and procedures; business English, spelling, composition, and grammar
  • Effective public relations, interpersonal, and communication skills with the ability to establish and maintain effective working relationships with a diverse group of individuals
  • Knowledge of and experience with accounting practices and procedures with the ability to perform budget management functions; ability to develop, analyze, and interpret accounting information
  • Knowledge of or the ability to learn and apply The University of Montana policies and procedures (financial/budgetary, personnel)
  • Demonstrated skill in the operation of personal computers and related word processing, spreadsheet, and database software (MS Word, Excel, Access) with the ability to learn new software
  • Knowledge of or the ability to learn web development/maintenance software; basic information technology equipment and resources
  • Demonstrated ability to share knowledge with others while providing positive customer service and maintaining a professional, personable demeanor at all times
  • Demonstrated knowledge of supervisory practices and procedures; ability to maintain strict confidentiality; accurate files and records
  • Demonstrated organizational, time management, problem solving, and multi-tasking skills and ability to meet deadlines in a busy environment with attention to detail
  • Preferred Qualifications

  • Demonstrated knowledge of and experience with Banner Finance and/or FINDW software
  • Bachelor’s degree in related field
