Primary Functions

  • Position works closely with the faculty and staff to manage the day-to-day operations of the department; provides administrative support to the Chair and department faculty (Duties include but are not limited to: clerical and reception; budget and financial accounts management; processing payroll and travel arrangements; serving as ProCard manager; processing scholarships & awards and faculty and graduate contracts; maintaining accurate records and files)
  • Assists with: faculty searches; faculty evaluations; scheduling of classes; University departmental Accreditation; department event planning; assembling department newsletter
  • May supervise staff and/or student employees
  • Completes other duties as assigned
  • Minimum Job Qualifications

  • High School graduation and three (3) years of related experience, or an equivalent combination of experience and education
  • Required Knowledge, Skills & Abilities

  • Demonstrated knowledge of professional office practices and procedures; business English, spelling, composition, and grammar with the ability to draft, proofread, and layout various documents for the intended audience
  • Demonstrated skill in the use of personal computers and related word processing, spreadsheet, and database software (Microsoft Office suite) with the ability to learn new software
  • Effective public relations, interpersonal, and communication skills, including the ability to work with diverse groups of individuals and create and maintain effective working relationships
  • Knowledge of accounting practices and procedures with the ability to perform basic budget management functions
  • Demonstrated knowledge of or the ability to learn The University of Montana polices and procedures
  • Ability to meet deadlines, establish appropriate priorities, and effectively organize information and staff
  • Ability to plan department activities, schedule meetings and classrooms
  • Demonstrated problem solving skills with the ability to maintain a professional, personable demeanor
  • Demonstrated organizational, time management, and multi-tasking skills
  • Demonstrated knowledge of supervisory practices and procedures
  • Ability to create and maintain files and records
  • Ability to maintain strict confidentiality and work on projects independently
  • Demonstrated skill in the operation of standard office equipment; copiers, fax machine and multi-line phone system
  • Preferred Qualifications

  • Bachelor’s degree in a related field
  • Demonstrated knowledge of and experience with Banner Finance database software
