Primary Functions

  • Position is responsible for and in charge of developing complex museum publications and programs, marketing pieces, book publications
  • Responsible for managing administrative office, including telephone, correspondence, meeting schedules and payroll
  • Supervises, hires, coordinates and trains gallery attendants and volunteers
  • Monitors and prepares reports for database entry and grants and provides balance summaries
  • Identifies potential funding sources, writes grant proposals, details grant-related expenses
  • Processes billing and payments and personnel records; develops mailing lists for public outreach
  • Creates layout/design for museum publications, updates website and disseminates press releases and public service announcements to the Media
  • Works with museum team on strategic planning, creative marketing, developing exhibits, planning for new facility
  • Develops, organizes and coordinates museum programs including special events, managing guest speakers, developing artist residencies and children’s classes.
  • Minimum Job Qualifications

  • High school graduation and three (3) years of related work experience, or an equivalent combination of education and experience
  • Required Knowledge, Skills & Abilities

  • Demonstrated knowledge of standard office practices and procedures; Business English, grammar, and composition including ability to write edit, and layout materials for the intended audience
  • Effective public relations, interpersonal and communication skills, including ability to create and maintain effective relationships with a diverse group of individuals
  • Demonstrated knowledge of and experience with graphic and web design software (InDesign, Photoshop, Illustrator, Macromedia Contribute, Acrobat)
  • Proven organizational, time management, and multi-tasking skills and ability to meet deadlines with attention to detail
  • Demonstrated supervisory skills with the ability to hire, train, schedule and supervise the work of others
  • Demonstrated skill in planning, scheduling, and coordinating meetings, tours, lectures, classes and events
  • Ability to work independently and exercise sound judgment
  • Ability to create and design museum publications and promotional materials
  • Knowledge of or ability to learn grant writing practices and procedures (write detailed grant proposals; handle grant administration; expense tracking)
  • Ability to greet a diverse group of guests (students, faculty, staff, community members, visitors) with polished etiquette skills
  • Demonstrated skill in the operation of personal computers and related word processing, and spreadsheet software (Microsoft Office, Outlook, Access, PowerPoint) and standard office equipment; copiers, fax machine, multi-line phone with the ability to learn other software
  • Preferred Qualifications

  • Previous experience in a university environment and/or a museum
  • Familiarity with visual art and/or experience working with artists
