Primary Functions

  • Position is the receptionist for the College of Forestry and Conservation: answers the telephone and routes calls; disseminates mail; maintains office supplies; maintains copy room organization; troubleshoots office equipment and schedules maintenance; schedules conference rooms, class rooms and various equipment; maintains appointment calendar for the Student Services Director; processes credit card deposits; provides undergraduate and graduate information; assists with the scholarship program; assists with summer and spring orientations; assists in maintaining student records, forms and filing
  • Provides administrative support to the Dean, Accounting office and other personnel as requested: filing; posting and dissemination of various informational documents; performs campus errands; assists with special projects and completes other duties as assigned
  • Minimum Job Qualifications

  • High school graduation and one (1) year of related experience, or an equivalent combination of education and experience
  • Required Knowledge, Skills & Abilities

  • Knowledge of standard office practices and procedures, business English, grammar, spelling, composition, and punctuation
  • Demonstrated customer service skills with the ability to provide positive professional guest service in a busy environment with frequent interruptions
  • Effective public relations, interpersonal, oral and written communication skills, including the ability to communicate to a diverse group of individuals
  • Ability to establish and maintain effective working relationships with others (co-workers, faculty, students and University departments)
  • Knowledge of or the ability to learn The University of Montana policies and procedures
  • Ability to maintain accurate calendars and schedules; schedule rooms, meetings, equipment
  • Demonstrated skill in the operation of personal computers and related word processing, spreadsheet and database software with the ability to learn new software
  • Ability to use and troubleshoot standard office equipment; copiers, fax machine, multi-line phone system
  • Ability to problem solve and maintain a professional, personable demeanor during sometimes stressful situations
  • Demonstrated organizational, time management, prioritizing and multi-tasking skills with the ability to meet deadlines
  • Ability to maintain confidentiality of student records and files
  • Preferred Qualifications

  • Demonstrated knowledge of and experience with Banner database software
  • Demonstrated knowledge of The University of Montana policies and procedures
