Position is designed to provide administrative support to the Associate Director of Custodial, Labor and Grounds (50%): Duties include but
are not limited to: answering phones and direct appropriately; preparing correspondence and spreadsheets; maintaining accurate files and
records; processing Facilities Services’ Rental houses rental payments and deposits; reviewing accounting documents for accuracy; researching
departmental charges/payments
Position also supports the Work Order Desk as a dispatcher (50%): Duties include but are not limited to: serving as a liaison between FS and
the UM community; receiving requests from departments for urgent or necessary facility repairs, special services, custodial services, moving
University equipment/materials, or event set up (graduation, concerts); communicate work order requests to the appropriate parties

| Minimum Job Qualifications |
|
High school graduation and two (2) years of related work experience, or an equivalent combination of education and experience
|

| Required Knowledge, Skills & Abilities |
|
Demonstrated knowledge of standard office practices and procedures; business English, spelling, grammar and composition with the ability to
draft correspondence for the intended audience; demonstrated accurate and timely data entry skills
Effective and concise verbal and written communication skills with the ability to: listen to and comprehend radio traffic and telephone
conversations; articulate transmissions clearly and concisely; retain information and recall previous events, situations and instructions; listen
and understand information given by a caller and relay information to appropriate personnel; obtain information needed from caller; gain and
maintain control of situations through verbal commands; prioritize calls from information given; facilitate and write work orders
Ability to read a UM campus map, interpret directions and relay map information to concerned parties
Ability to establish and maintain effective working relationships with a diverse group of individuals (members of the University community
and the general public)
Knowledge of or ability to learn and apply departmental and UM policies and procedures (Key & Vehicle Rentals, Rental Housing)
Demonstrated skill in the operation of personal computers and related word processing, spreadsheet, database software, (Microsoft Office
suite) internet and e-mail with the ability to learn other software (FS Work Order, Vehicle Rental module, and FS Rental Housing software)
Ability to use standard office equipment: copiers, fax machine and multi-line phone system; ability to efficiently operate dispatch equipment,
radios, switchboard console with the ability to learn new software
Ability to create related spreadsheets and reports
Demonstrated problem solving, organizational, time management, multi-tasking skills, and ability to handle multiple tasks with highest degree
of accuracy and attention to detail during stressful situations
Ability to maintain accurate files, strict confidentiality and work on projects independently
Ability to assess the needs of customers and provide information and/or direction in a timely, clear, and friendly manner
