Primary Functions

  • Position is responsible for managing the TRIO SSS student information system and reports: develops forms and intake procedures to document eligibility; maintains filing system; ensures student data is complete and accurate in Banner
  • Manages the budget monitoring system: maintains spreadsheets to track annual budget expenditures; develops budget forecasts; identifies errors in Banner; oversees annual closing of grant account and carryover funds; coordinates payments to on and off campus vendors; serves as the account manager for department ProCard account and prepares monthly financial reports
  • Serves as office manager and performs reception/clerical tasks: answers the telephone and in-person inquiries; oversees completion of time records and payroll rosters; maintains inventory of supplies; records staff meeting minutes and distributes; interprets and complies with UM travel policies; prepares travel paper work; hires, trains and supervises student clerical staff
  • Develops marketing and communication pieces (electronic and paper form) to increase awareness and services offered (handouts, forms, surveys, brochures); maintains and updates the project’s website
  • Minimum Job Qualifications

  • High school graduation and two (2) years related work experience, or an equivalent combination of education and experience
  • Required Knowledge, Skills & Abilities

  • Knowledge of standard office practices and procedures: business English, spelling, grammar, punctuation and composition
  • Knowledge of basic budget monitoring and tracking processes and procedures
  • Ability to create & analyze accurate reports in a variety of formats
  • Knowledge of or the ability to learn The University of Montana personnel, travel, and financial policies and procedures
  • Ability to provide positive professional customer service on the phone and in person and remain calm and professional at all times
  • Effective interpersonal, public relations, and communication skills, including ability to work with diverse population and create and maintain positive working relationships
  • Ability to create, proofread, and lay out marketing and communication pieces for the intended audience
  • Knowledge of or the ability to learn web design and maintenance software
  • Ability to hire, train, supervise and evaluate student clerical staff
  • Proven organizational, time management, and multi-tasking skills and ability to meet deadlines in a busy environment with attention to detail
  • Demonstrated skill in the operation of personal computers and related word processing, spreadsheet and database software (MS Excel, Word, Access, Outlook) with the ability to learn other software programs. A MS Word and Excel exercise will be given at the time of interview.
  • Ability to use and troubleshoot standard office equipment; copiers, fax machine, multi-line phone system

  • Preferred Qualifications

  • Demonstrated knowledge of and experience with Banner Student and/or Banner Finance database software
  • Two or more years of experience in an institute of higher education
