Visa Information

What is a visa?

A visa is an official authorization allowing you to enter a country and travel, work, live, or study there for a specific period of time. Generally, a visa is an elaborate stamp that is sealed onto one of the pages of your passport. Visas are issued to American citizens by a foreign country's Embassy or Consulate located in the United States. Every country has its own regulations governing the issuance of visas.

General tips for applying for a visa

Foreign embassies and consulates in the US receive hundreds of inquires every day so contacting them can be a trying experience. Have patience. Some consulates only receive visitors or calls during certain hours of the day or on certain days of the week; visit their website to learn their hours or call back at different times of the day. You may find that you are placed on hold or that your call is never forwarded to the appropriate person. Don't be discouraged: be persistent, but polite. Remember that US consulates in foreign countries operate in a similar fashion!

How do I obtain a visa?

Online

Students from Assessment Level 1 countries apply online for their visa (In most cases, U.S. passport holders are Assessment Level 1).

  • Eligible students should go to http://www.immi.gov.au/e_visa/visit.htm or from the DIMIA homepage, click "Online visas and services" to access the online visa application.
  • Scroll down the E-Visa Page to "Online Visa Applications." The first sub-heading, "Student Visa Services," is for students applying for a visa from OUTSIDE of Australia. Select "Initial Student Visa."
  • Please read the general information on Student Visas provided on this page. Then, click "Apply Online Here."
  • You will then need to determine the appropriate class of student visa for which you should apply. In most cases, you will select (by clicking on the "yes" arrow) "I do not hold a current Student Visa and I believe my visa application is a full fee application."
  • Please read the information about applying for a student (temporary) visa for Assessment Level 1 students. Then click "Apply Online Here."
  • You need to agree to the Terms and Conditions by selecting "I agree."
  • Please complete the online information as requested. You will be provided with a Transaction Reference Number (TRN). Save this number - you will need it in order to check the status of your e-visa.
  • You should receive a confirmation email stating that your visa has been issued. To confirm the status of a student visa, visit the E-Visa portion of the DIMIA website. Scroll down to the subheading "Online Visa Services." Click on "Online visa enquiry facility." You will need your date of birth and TRN to check the status of your e-visa.

Via mail

You may also apply via mail from the Australian Embassy. Be aware of the following:

  • Download the 157A form, complete it and send it along with the COE, passport, and payment.
  • Send all documents, including your passport, in a FedEx, US Overnight Mail, or other express mail service that provides a tracking number for your parcel, to the embassy. Keep a photocopy of all documents, including your passport, for yourself.
  • If there is a fee for your visa, send a money order or certified check--consulates will not accept personal checks.
  • Be sure all documents are in order. Missing documents may cause delays in the processing of your application.
  • Enclose a postage paid FedEx/US Overnight Mail envelope addressed to yourself. The consulate will only return your visa and documents if you provide a return envelope.
  • Apply early.
  • Do not leave the country until you have received your passport and visa.

  • Documentation of your ability to financially support yourself during your stay (examples: a letter confirming scholarship monies from your home institution, a bank loan, or parental support.)
  • At the discretion of immigration officials, you may be required to undergo an impromptu medical exam at the airport upon arrival in the UK. This exam may include a chest x-ray. The British consulate recommends that you bring a doctor's report with you, but a doctor's report may not be sufficient to waive the airport medical exam.

Applying for your student visa: ISEP Students

Please see your ISEP Country Handbook for specific information on getting a visa to your country of destination.

Do I need a visa to do study abroad through ISEP?

In most cases, the answer is yes, although the name of the visa my vary from country to country. In some countries, it is called a "residence permit," and in others "entry clearance." Your ISEP Country Handbook contains a section about visas and will tell you if you need one. You may also look up your host country's embassy or consulate on the web for more information about visas. Most embassies' and consulates' websites are listed at www.embassy.org and www.embassyworld.com

Remember: if you are traveling with a spouse or children, you need to inquire about visas for your dependents as well as for yourself.

What do I need to apply for a visa?

Visa and residence permit regulations vary widely. It is your responsibility to determine what documents you are required to submit to obtain your visa. In general, the following documents are needed to apply for a visa (but consult the appropriate embassy or consulate to obtain a list that is accurate for your situation):

  • A valid passport. Please see page 1 in the Study Abroad Handbook for information on how to apply for a passport. Apply early for your passport! It may take 6-8 weeks to process your application.
  • Completed application for a visa/residence permit; obtain the application form from the consulate or download one from the consulate's website, if possible.
  • Two or more passport-size photos
  • The original letter from the host institution confirming that you have been accepted to the exchange program
  • Your letter of acceptance from ISEP
  • Proof of financial support during your term of exchange (The Letter of Certification that you receive from your University of Montana ISEP Coordinator is normally sufficient)
  • Payment of the processing fee, if any, in the form of a money order or certified check.

Attention: Neither this list nor the list in your ISEP Country Handbook is guaranteed to be all-inclusive! Verify this information with the appropriate consulate, as the application process can vary by country, by consulate, and over time.

Where do I apply for a visa?

You must determine which consulate will process your visa application. In general, each consulate is responsible for processing visa applications for residents of specific states. In many cases, this is the consulate that is closest to or in your state of residence. For Montana residents, visa applications are most often processed by consulates in Seattle, San Francisco, Los Angeles and Denver. In many cases, the appropriate consulate will be listed in your ISEP Country Handbook, or you may have to contact the embassy directly to ask.

How do I apply for a visa?

In person

  • Take the required documents to the consulate that has jurisdiction over your state of residence. Be sure you have photocopies of everything to keep for your own records.
  • Call the consulate before you visit to verify hours of operation and location.
  • Avoid waiting until the last minute to apply for your visa, as omitting one document or failing to complete a form completely may delay the processing of your visa for weeks.

Via mail

If you have the option to apply by mail rather than in person, you should:

  • Send all documents, including your passport, in a FedEx, US Overnight Mail, or other express mail service that provides a tracking number for your parcel, to the consulate. Keep a photocopy of all documents, including your passport, for yourself.
  • If there is a processing fee, pay it with a money order or certified check payable to the consulate (i.e. Consulate-General of France). Consulates will not accept personal checks.
  • Enclose a postage paid FedEx/US Overnight Mail envelope addressed to yourself. This will enable the consulate to return your passport and visa to the address that you designate and will avoid loss of your documents. Keep a record of the tracking numbers for the outgoing package and for the return package.
  • Apply early: some consulates require up to three months to process a visa.
  • Be sure all documents are in order. Missing or incomplete documents may cause delays in the processing of your application.
  • Do not, under any circumstances, leave the country until you have received your passport and visa.
