Position is responsible for the preparation of correspondence and documents including proofreading, formatting, fact checking, and posting, as well as maintenance of support materials, and an electronic document catalog. Duties include, but are not limited to: maintaining the office database; coordinating meetings, agenda items and logistics; serving as a technical liaison for the office and performing system backups; performing reception duties, advising the MVA Director on budget needs, compiling, organizing, preparing and submitting budget, financial and statistical reports to the Director as needed; developing accounting controls, purchasing and personnel policies and procedures for the MVA; teaching others in the use of database and other software and budgeting/purchasing processes; maintaining strict confidentiality and demonstrating the highest level of professionalism in all communication forms; supervision and evaluation of support personnel; troubleshooting problems with equipment; managing the Director’s office in all financial and budgetary matters within the MVA and administrative support staff; managing the activities of two to three (2-3) staff, some of whom will be members of Montana Public Employees Association; conducting annual performance reviews as part of performance management responsibilities; initiating recruitment processes for new and vacant positions and finalizing the process by making a selection; taking corrective action in order to address performance issues and is authorized to terminate an employee when discipline measures fail
Position will demonstrate: ability to accurately proofread and edit materials; ability to write professional correspondence; intermediate to advanced knowledge of Microsoft Office applications, including Outlook and Access; ability to maintain strict confidentiality and a professional demeanor at all times; effective interpersonal and communication skills—both verbal and written; ability to analyze complex information and discern trends; ability to organize, prioritize and accomplish multiple tasks with attention to detail; ability to accomplish tasks accurately and completely within deadlines; ability to appropriately answer or direct inquiries; knowledge of accounting, financial planning and budgeting principles and practices; skill in developing accounting controls, purchasing policies and personnel policies and procedures; ability to operate all standard office equipment; knowledge of supervisory procedures, including the ability to evaluate performance and handle difficult employee interactions and problems; knowledge of recruitment, selection and hiring procedures; ability to manage special projects to completion and mange project teams; knowledge of disciplinary procedures and documentation, and the ability to handle difficult employee interactions and problems; knowledge of recruitment, selection and hiring procedures and policies; knowledge and understanding of, or the ability to learn, Montana Public Employees Association collective bargaining; knowledge and understanding of, or the ability to learn, UM policies and procedures

| Minimum Job Qualifications |
|
High school graduation and three (3) years of related experience, or an equivalent combination of education and experience
|

|
Demonstrated knowledge of professional office practices and procedures; business English, spelling, composition, and grammar, including the ability to write, edit, and layout documents in a variety of formats suitable for intended audience — professional writing sample is required
Demonstrated interpersonal, public relations and communication skills including the ability to work with a diverse group of individuals
Ability to analyze complex information and discern trends for reporting purposes
Demonstrated skill and ability to operate personal computers and related word processing, spreadsheet software and database software
Demonstrated skill and ability to operate standard office equipment: printers, copiers, fax machine, multi-line phone system
Demonstrated ability to manage and manipulate large databases
Demonstrated organizational, time management, and multi-tasking skills and ability to meet deadlines in a busy environment
Proven ability to set priorities, delegate tasks and pay close attention to detail
