Position coordinates a number of events and programs for The University of Montana Alumni Association. The events coordinated by this position are multiple, complex, and at times are simultaneous. Duties include, but are not limited to: directing membership campaigns for retention and growth of the programs; researching various membership campaigns; coordinating with printers, direct mail houses, and the database manager to bring together components of the campaign; maintaining membership records; producing reports based on records; planning and executing events for members; coordinating the marketing of new products for membership retention and growth; researching various products for marketing purposes; negotiating process; coordinating shipping and storage; maintaining marketing records and results; coordinating meetings and activities of the UMAA Board of Directors; organizing events, securing venues, supplies, and other requirements for meetings; taking notes and minutes; organizing schedules; creating agendas and other board materials; researching information in office files and on the Internet; coordinating events surrounding Distinguished Alumni Awards at Homecoming; coordinating nomination process (advertising, written requests for nominations, maintaining nomination files, awards committee activities); coordinating awards ceremony (venue, supplies, schedules and supplies); organizing agenda for the weekend of awards presentation (complete event planning); performing additional duties as assigned
Position will demonstrate: proficiency in standard office equipment such as multi-line phone systems, copier, and printer; proficiency in MS Office programs including Word, Excel, Outlook, and PowerPoint; high degree of independent action and proactive planning, while working with little to no supervision; proactive adherence to schedules regarding timelines of event; ability to organize, prioritize and accomplish multiple tasks with attention to detail; ability to accomplish tasks accurately and completely within deadlines; ability to work independently with minimal supervision; ability to learn and apply The University of Montana policies and procedures; adequate knowledge of graphic and design software, digital cameras, scanners and graphic editing hardware and software; ability to design and layout concepts for designing graphics, images, letterheads, posters and other visually-based designs; ability to disseminate material in a variety of forms and styles

| Minimum Job Qualifications |

High school graduation and two (2) years of related work experience, or an equivalent combination of education and experience

Demonstrated experience in event /conference planning and project coordination/organization
Demonstrated organizational skills including multi-tasking, time management and ability to meet deadlines
Demonstrated organizational, time management, and multi-tasking skills and ability to meet deadlines in a busy environment
Proven ability to set priorities, delegate tasks and pay close attention to detail
Ability to write, edit and layout documents in a variety of formats, suitable for intended audience
Effective interpersonal, customer service, and communication skills, including ability to work with diverse population and build positive relationships
Demonstrated knowledge of professional office practices and procedures; business English, spelling, composition and grammar
Skill in the operation of personal computers and related work processing, spreadsheet and database software with the ability to learn other financial software
