Position will manage the efforts of other support personnel and also provide overall administrative support for OREOS. Duties include, but are not limited to: coordinating scheduling; preparing documentation; performing budget management for all OREOS programs; monitoring acquisitions and payments; reconciling Procard and managing all purchases made with the programmatic funding; collaborating with ORSP and adhering to the budgetary guidelines established by the Financial Program Manager; composing annual budgetary assessments for sponsoring agencies; periodically advising grant teams and program director on best practices for achieving program goals within the confines of grant agencies budgetary guidelines; performing personal assistant responsibilities to the OREOS Director; maintaining the Director’s calendar; arranging and coordinating travel plans/expense reports; acts as departmental representation and liaison with other campus departments regarding administrative and operational issues; preparing payroll rosters; managing and verifying accuracy of all aspects of hiring; maintaining integrity of hard copy and electronic filing systems; disseminating all information regarding OREOS Programs and in-process grant proposals; serving as point of contact for callers and visitors to OREOS office; collecting of assessment materials; recruiting students; creating and distributing programmatic policies and interdepartmental correspondence; creating of program publicity and recruitment materials; creating written information pages and updates for the OREOS website; training and supervising project assistants and undergraduate aides; coordinating activities between IT personnel, Systems Administrator and Program Director; contributing to writing other proposals, renewals and other duties as assigned.
Position will demonstrate: ability to work independently with minimal supervision; ability to learn and apply The University of Montana policies and procedures; knowledge of computerized financial systems; experience with reconciliation of financial accounts; ability to design and implement short-range and long-term planning and maintains reference materials and files; knowledge of Microsoft Office Suite including expertise in Outlook and Excel; ability to manage day-to-day office operation for all currently funded grants; effective representation of the office at interdepartmental meetings at all times; familiarity in meeting note taking and informational dissemination hub; knowledge of reporting and business correspondence; adequate knowledge of graphic and design software, digital cameras, scanners and graphic editing hardware and software; ability to design and layout concepts for designing graphics, images, letterheads, posters and other visually-based designs; ability to disseminate material in a variety of forms and styles; skill in technical writing, including writing grant proposals; ability to learn and apply website design and management skills; familiarity with current OREOS grant programs and the requirements and objectives of their respective funding agencies; familiarity with similar programs offered by other agencies and foundations; may be required to travel on an occasional basis

| Minimum Job Qualifications |

High school graduation and two (2) years related work experience or an equivalent combination of education and experience

Demonstrated knowledge of professional office practices and procedures; business English, spelling, composition and grammar
Effective interpersonal, customer service, and communication skills, including ability to work with diverse population and build positive relationships
Demonstrated experience in tracking budgets, preparing reports, and knowledge of general accounting and reconciliation practices and procedures
Skill in the operation of personal computers and related work processing, spreadsheet and database software with the ability to learn other financial software
Organizational skills including multi-tasking, time management and ability to meet deadlines
Ability to write, edit and layout documents in a variety of formats, suitable for intended audience
Knowledge of training and supervisory practices and procedures
