Position coordinates CE Operations: duties include, but not limited to: managing day-to-day operations including course and program logistics,
finances and campus departmental liaisons; contributing to strategic planning; administering courses, programs and events to ensure program quality
and integrity; creating brochures; making travel arrangements; monitoring and evaluating effectiveness by investigating trends; recommending and
implementing modifications; maintaining liaison and coordinating with other programs, internal and external offices and departments; proofreading and
copy editing documents; preparing reports and analyses; supporting faculty, students, staff and clients; traveling occasionally within Montana to present
program information and facilitate related courses or programs
Provides budgeting and fiscal management: duties include: engaging fiscal planning for Extended Learning Services (XLS); preparing budgets;
monitoring, verifying and reconciling expenditure of budgeted funds; developing course programs and budget; negotiating services or contracts with
vendors; reconciling accounting transactions; identifying accounting errors and providing solutions; performing administrative, financial and office
management with limited supervision
Responsible for communication and marketing: duties include: leading discussion, while contributing to XLS team; maintaining communications with
key individuals; representing XLS in written and verbal formats; creating promotional ideas for courses, projects and/or programs; developing plans
and schedules for release of publicity materials; developing marketing materials including proposals, promotional copy, PowerPoint presentations,
brochures, and advertisements; serving on committees and attending professional meetings as appropriate; updating program webpage
Trains and evaluates support staff and volunteers

| Minimum Job Qualifications |
|
Bachelor’s Degree in a related field, and two (2) years of related experience, or an equivalent combination of education and experience
|

| Required Knowledge, Skills & Abilities |
|
Knowledge of standard office practices and procedures, business English, grammar, spelling, composition, and punctuation; ability to draft and prepare
reports and correspondence
Demonstrated knowledge and experience in program management: assessment and evaluation strategies, strategic planning processes
Knowledge of budgeting and fiscal management practices and procedures: fiscal planning, accounting principles, account reconciliation; ability to
prepare and analyze financial reports
Knowledge of or the ability to learn The University of Montana, state, and federal policies and procedures; ability to become familiar with UM’s
Continuing Education programs
Demonstrated interpersonal, verbal and written communication skills, including the ability to communicate to diverse groups of individuals, and
establish and maintain effective working relationships with others (students, the University community, and the general public)
Demonstrated effective presentation skills; ability to create and conduct presentations
Ability to develop and execute promotional and marketing strategies; ability to create informational, promotional, and marketing materials and tools;
ability to learn website editing software
Demonstrated skill in the operation of personal computers and related word processing, spreadsheet and database software (MS Office) with the ability
to learn other software programs. MS Excel and MS Word exercises will be given at time of interview.
Ability to make travel arrangements; experience planning, scheduling, and executing meetings
Ability to troubleshoot and solve problems while maintaining a professional, personable demeanor
Organizational, time management, and multi-tasking skills and ability to meet deadlines in a busy environment with attention to detail
Ability to maintain confidentiality, exercise sound judgment, and act with initiative
