Workshop - Building a Collaborative Vision for Training FEWS Leaders

General

The University of Montana, in collaboration with the University of Iowa and UC Berkeley, hosted the workshop “Building a collaborative vision and diverse community to support the emerging FEWS workforce” July 30-August 1, 2018 in Missoula, MT.  This workshop was funded by NSF.

The workshop/meeting brought together leaders from all the current INFEWS NRTs to identify grand challenges in the development and implementation of education and training programs for graduate students at the FEWS nexus. A second, but critical, goal was to also begin building a nationwide community of FEWS leaders.

Invitees included PIs and staff (Program Coordinators, Affiliated Faculty, External Evaluators), as well as trainees from the 9 currently running INFEWS NRTs:

The following are the number planning to attend by program. Hotel rooms have been reserved for all participants. See below regarding hotel accommodations.

A registration table will be at the workshop upon your arrival. We will provide nametags, a final printed agenda, and a hard-copy map.

We have rooms reserved for your contingent per the table shown in the tab above ("Attendees by NRT Program"). A final hotel room list will be provided to each program for their information/review by July 16, 2018. After this date, please contact your Program Coordinator/Administrator for information about your hotel reservations. 

Rooms for PIs/Staff are reserved at the at the Double Tree in Missoula. PIs/Staff will be placed in single rooms. This hotel is within easy walking distance of the UM campus – a very pleasant ~ 0.5 mile walk across the river on the pedestrian bridge. Please let us know of any mobility impairments that may make this trip difficult.  

Rooms for Trainees are reserved at the Holiday Inn in Missoula. Trainees will be placed in double rooms as possible based on gender. Note that trainees may be lodged with other same-gendered trainees from other institutions. This hotel is a pleasant 1.0 mile walk along the river to campus. Please let us know of any trainees that may require a single room for various reasons. Also please let us know of any mobility impairments that would preclude this walking distance.

Flight arrangements have been made for all attendees by either the University of Montana or your program's administrator. If you are unaware of your flight details, please contact your program's administrator.

Flight arrangements that have been made by other NRT programs (as opposed to made by the University of Montana) will be reimbursed by the workshop. Please provide the following packet, electronically, to Teresa.Clark@Umontana.edu for reimbursement to your Institution:
- A Word document that includes:
     - Preparer's name, institution, email, and phone
     - List of traveler names and ticket prices for each
     - Total reimbursement requested
     - A completed W-9 form 

Dietary preferences and restrictions should be provided in the registration questionnaire (see "Registration" tab, above). 

Food will be provided as part of the workshop as follows:  
Monday, July 30 – welcome dinner;
Tuesday, July 31 – breakfast, lunch, dinner;
Wednesday, August 1 – breakfast, lunch.

Food during travel status for travel to or from the workshop (not to include any additional personal travel days) will be reimbursed per UM policies. UM will reimburse up to $23/day. Receipts are not required for per diem food reimbursements.

Reimbursements will be made to each traveler (or group of travelers for which one person made all purchases), when they submit (combined for food and ground transportation):

- a completed Excel summary sheet;
- all receipts (for non-food items);
- a completed UM substitute W9 form if reimbursement is requested by an individual; or  a completed W-9 form if reimbursement is being requested by an institution. 

Reimbursements (for non-food items) can not be made without receipts. One package, per traveler (or group of travelers for which one person made all purchases - which may be submitted by an institution), should be submitted to Teresa.Clark@Umontana.edu within 30 days after the workshop. 

Please allow up to 6 weeks for reimbursement. 

Your contingent can be reimbursed for up to $70 per person, with receipts, for parking, ground transportation, and other travel incidentals. 

To keep costs below this amount, we recommend you to use the free shuttle service from the airport for each hotel or use a shared Uber/Lyft/Taxi amongst your contingent.
