What is Cayuse IRB - Human Ethics?
Cayuse IRB - Human Ethics is the online IRB submission system that the UM IRB has selected to replace the current Word application and email submission process. The system allows for all IRB submissions to be submitted online. In addition to new studies, all renewals, modifications, and incident reports will also be submitted and managed through this online system.


When is the “Go Live” date for new study submissions in Cayuse Human Ethics?
The “Go Live” date will be January 1, 2024 when all new submissions begin using the Cayuse IRB system.


How can I access Cayuse? 
You can log into Cayuse IRB using your UM NetID and password. If you are a new user and are unable to access Cayuse, or you are a campus affiliate and do not have a NetID, you can submit a request to be added to the system by emailing irb@umt.edu. Please allow 48 hours for the system to process you. You can login to Cayuse HE here: (LINK – CAYUSE LINK COMING IN JANUARY)


What if I am working on an application using the previous form?
The previous (Word) IRB application form and email submission system will no longer be used for new applications after January 1, 2024 and these forms will no longer be available after that time. We recognize that some investigators may have begun work on an application submission during this time while submitting it after January 1, 2024. To minimize the impact of this transition to the research community, these (Word) application forms will be accepted through February 1, 2024. Please note: New IRB applications using the Word application forms will not be accepted after February 1, 2024. 


Will currently active studies be migrated from old IRB system to Cayuse IRB - Human Ethics?
No, currently active studies that were submitted with the Word application/email system will not be migrated into Cayuse at this time. For currently active studies that require modifications (amendments), renewal, or closure, please use the original Word application system. Those documents can still be found on our Forms, Templates, and Examples pages.


Will closed studies be migrated to Cayuse IRB - Human Ethics?
No, closed studies will not be migrated.


Will training be offered on the new system?
Yes. Cayuse training sessions will be offered throughout November and December 2023. You can also schedule a one-on-one or small group training session by emailing irb@umt.edu. Please include the date and time you are wanting to schedule your training. 


What is the Cayuse Dashboard?
The Cayuse Dashboard is the homepage for your Cayuse account. You can use the dashboard to access to your studies, submissions, and tasks. Please watch the Cayuse Dashboard video for additional guidance. 


How do I add non-UM personnel to my study? 
All study personnel that are not affiliated with UM can be included on the application by listing their names in the “Additional Personnel” section. This is a free-form text box that will allow you to list additional or non-UM personnel working on the study. The application should also include the human subjects protection training certificates for each non-UM affiliated individual and institutional approval (if applicable) for each institution. 


How can I determine the status of my submission? 
The In-Draft status indicates that the submission is pending completion by the study team. These studies could have been drafted but not submitted to the HSR yet, or they could have been submitted to the HSR office and returned to the study team for updates.
The Awaiting Authorization status means that the submission is pending approval certification from at least one of the key researchers on the study (PI, Co-PI, and/or Faculty Sponsor).
The Pre-Review status indicates that the submission is being reviewed by the HSR, and an HSR Specialist is in the process of reviewing the submission.
The Under Review status shows that the submission is under review by the IRB or HSR Reviewers.
