Primary Functions

  • Position provides administrative and technical and clerical support for the Native American Center of Excellence (NACOE) and its programs; provides customer service to students, the UM community, health care providers, and the general public; assists in applying for funding from external sources including grants and contracts; assists in developing and implementing office management routines and systems as needed in a growing program; prepares mailings, does filing, processes routine forms and paperwork; provides positive customer service in dealings with students, healthcare providers, faculty and external constituents; assists with departmental meetings and events; assists with other duties as assigned.

  • Position will demonstrate: a high degree of initiative along with strong problem-solving skills, attention to detail and ability to work as part of a team; ability to prioritize multiple tasks, both immediate and ongoing; familiarity with all standard office equipment (printers, copiers, fax), communication tools (email, voicemail, the Internet) and software (Microsoft Office, including Outlook, Publisher, Excel, Access); experience and skill in website development and maintenance, as well as developing and using web-based communications (e-newsletters, etc.); familiarity and interest in new technologies in order to recommend and use technology, office equipment and software to benefit growing programs; organizational skills; familiarity with, or ability to learn the grant application process; ability to organize, compile and complete mailings, packets, and other materials for meeting participants; ability to assist the Director and Co-Director in preparing and compiling necessary financial and statistical data for grant applications and reports; experience in accomplishing routine office tasks such as mailings, filing, and processing routine forms and paperwork; a strong customer service orientation.
  • Minimum Job Qualifications

  • High school graduation and three (3) years of related work experience, or an equivalent combination of education and experience
  • Required Knowledge, Skills & Abilities

  • Knowledge of professional office practices/procedures; business English, spelling, composition, grammar with ability to create and proofread materials
  • Effective interpersonal, customer service and communication skills including ability to work with diverse populations and build positive relationships
  • Demonstrated ability to plan and organize meetings and events
  • Demonstrated skill in the operation of personal computers and related word processing/spreadsheet/database software (Microsoft Office) and the internet
  • Ability to prepare and compile data for statistical reports
  • Demonstrated skill in the operation of standard office equipment; copiers, fax machine, multi-line phone system
  • Ability to problem solve and maintain a professional, personable demeanor
  • Demonstrated organizational, time management, and multi-tasking skills with ability to meet deadlines in a busy environment with attention to detail
