The Administrative Associate III provides organizational support to the Counselor Education department and its degree programs. Duties include, but are not limited to: assisting the Department professors in preparing class materials, overseeing correct usage of UM policies, and scheduling courses/room assignments; managing the budget; keeping track of all expenditures, invoices, travel vouchers, as well as supply, textbook and instructional material orders; making travel arrangements; overseeing graduate application process; hiring and supervising student support staff; maintaining the department website; providing oversight of the practicum and internship clinical scheduling and management; maintaining accurate records; assisting in student enrollment efforts including creating and disseminating recruitment materials and developing conference recruitment strategies and resources; providing positive customer service to potential and current students, alumni, external stakeholders, co-workers, and The University of Montana community; responding to inquiries and directing to resources accordingly; assisting students in the administrative process of the department; completing other duties as assigned
Position will demonstrate: organizational, time management, and multi-tasking skills and ability to meet deadlines in a busy environment with attention to detail; knowledge of The University of Montana’s policies and procedures; knowledge of the department and the degree programs offered by Counselor Education; knowledge of budgeting and financial planning principles and practices; ability to track and maintain financial records; knowledge of and ability to make travel arrangements in accordance with UM policies and procedures; ability to plan and schedule meetings, events, and travel arrangements; effective public relations, interpersonal and oral communication skills with the ability to establish and maintain positive working relationships with a diverse group of individuals; skill and ability to operate personal computers, website management, related word processing, spreadsheet and database software; ability to learn other software and equipment such as Banner and ProCard; ability to learn and apply website design and management skills; ability to maintain confidentiality, exercise sound judgment and act with initiative; ability to write, edit and layout documents and materials in a variety of formats suitable for the intended audience; demonstrated knowledge of supervisory practices and procedures; knowledge of standard office practices and procedures, business English, grammar, spelling, composition, and punctuation

| Minimum Job Qualifications |

High school graduation and three (3) years related work experience, or an equivalent combination of education and experience
