Primary Functions

  • Position serves as the administrative support role for the Associate Vice President and professional staff for the office. Duties include: maintain the Associate Vice President's calendar; arranges and coordinates travel plans/travel expense reports; acts as departmental representation and liason with other campus departments regarding administrative and operational issues; responsible for monthly, quarterly and year-end analysis; tracks and controls Procard activity; prepares payroll rosters; manages and verifies accuracy of all aspects of hiring, training or delegating training and accountability for performance evaluations; researches, gathers, compiles and analyzes information to produce reports or to apply knowledge to specific departmental needs; assists in planning, organizing and coordinating the execution of complex and time sensitive projects; maintains reference materials and files; updates OPBA website as directed

  • This position is also responsible for the financial and resource management of the department and performs all administrative operations of the organization, duties include: represents the office at inter-departmental meetings at times; assists in the creation and dissemination of departmental information; manages day-to-day office operations; serves as point of first contact for callers and visitors to the office; assists with coordination of office work flow; provides assistance to office staff members with data entry, data reconciliation, travel and professional activities; performs budget analysis, and monitoring; conducts research and provides analysis of institutional data, as assigned by committees; serves as liason between Institutional Research and budget staff members; participates in staff meetings; maintains work logs; assists with short and long term departmental planning

  • The incumbent will demonstrate: knowledge of standard office practices and procedures; ability to maintain confidentiality, exercise sound judgment and act with initiative; ability to work independently with minimal supervision; ability to learn and apply The University of Montana policies and procedures; skill in the operation of personal computers and related word processing, spreadsheet and database software with the ability to learn other software (Banner); knowledge of computerized financial systems; experience with reconciliation of financial accounts; demonstrate effective written communication skills with the ability to write, edit, proofread and layout documents and materials in a variety of formats suitable for the intended audience; ability to learn and apply website design and management skills; effective interpersonal, customer service, and communication skills, including ability to work with diverse population and build positive relationships; ability to prioritize and route incoming requests; ability to maintain supply inventory; ability to provide accurate data entry; knowledge of complex organization protocol and administration; ability to interact with senior level managers and executives
  • Minimum Job Qualifications

  • High school graduation and four (4) years of progressively responsible related work experience, or an equivalent combination of education and experience
  • Required Knowledge, Skills & Abilities

  • Demonstrated knowledge of standard office practices and procedures; business English, spelling, composition, and grammar
  • Effective interpersonal, public relations, and communication skills, including ability to work with a diverse population
  • Demonstrated skill in use of personal computers and related word processing, database, and spreadsheet software
  • Ability to maintain accurate records and files; maintain strict confidentiality
  • Ability to track and monitor accounts and budgets
  • Demonstrated organizational skills and ability to manage multiple priorities in a busy environment
