Position serves as a liaison between Facilities Services and the University of Montana campus community. Duties include, but are not limited to: receiving requests from departments for urgent or necessary repairs, special services, custodial services, assistance in moving, or special events such as graduation or concerts; organizing and dispatching multiple craft or custodial staff as required in emergency conditions via radio and telephone communication; documenting calls and entering charge information in Facilities Services’ proprietary software; dispensing building keys to maintenance staff and contractors; checking out vehicle rental keys for Transportation Services; processing Facilities Services payroll when the payroll clerk is absent; providing general administrative support as needed; answering the phone, typing memos, preparing simple spreadsheets, filing, payroll form preparation and other basic administrative duties
Position will demonstrate: knowledge of The University of Montana campus; knowledge of the policies related to vehicle rental, building maintenance, and key handling; demonstrated knowledge and ability to learn proprietary work order software; knowledge of state and university vehicle rental rules and policies related to building key disbursement; ability to assess the needs of the customers and provide information and/or direction in a timely, clear, and friendly manner; understanding of duties performed by various trades, allowing for correct crafts to be dispatched to perform work; ability to determine what is or is not an emergency and respond appropriately; ability to interpret and comprehend radio traffic and telephone conversations; ability to efficiently operate dispatch equipment, radios, and switchboard console and learn related software; understanding of Work Order software and how charges are fed to the university’s computer database, Banner; ability to research charges and prepare necessary documents to correct accounting errors; knowledge of Key & Rental Vehicle check-out procedures and related policies; knowledge of The University of Montana practices and procedures; knowledge of standard office practices and procedures; business English, spelling, composition, and grammar; demonstrated customer service skills; ability to make sound decisions and remain calm and professional at all times; effective interpersonal, public relations, and communication skills, including ability to work with a diverse population; ability to take accurate messages; ability to maintain confidentiality; effective time management and organizational skills with the ability to complete tasks while paying attention to detail; skill in the operation of personal computers and related word processing, and database software with the ability to learn other software; ability to use standard office equipment: copiers, fax machine, typewriters and multi-line phone system

| Minimum Job Qualifications |
|
High school graduation and two (2) years related work experience, or an equivalent combination of education and experience
