Primary Functions

  • Position is under the general direction of the University Center (UC) Business Manager to perform general reception and administrative support duties for the UC Administrative Office and UC staff. Position duties include, but are not limited to: answering telephones, routing calls and taking messages; providing information to a variety of individuals pertaining to general inquiries; greeting and directing visitors; establishing, maintaining, processing and updating electronic and paper files, records and documents; opening, routing, and distributing mail; copying, faxing and preparing mailings; proofreading and editing various documents; running routine and emergent errands; ordering, stocking, and distributing office supplies; scheduling and maintaining department calendars; coordinating meetings; troubleshooting and maintaining office machines; serving as notary; taking minutes at meetings and preparing minutes for disbursal; preparing white board messages and updating LED Board; acting as backup for staff and student payrolls; performing basic student payroll duties including missed punch reports and time edits; utilizing software such as Event Management System (EMS), Blackboard Time Management System, and Banner; preparing building hours for each semester; maintaining and updating scrapbook and communication wall; compiling and preparing event lists and evaluations reports; maintaining and updating department, emergency, and directory phone lists; preparing basic correspondences, publications, and marketing materials; coordinate special events; taking sign-ups for various events; logging all monies received in the office; participating in other special projects affiliated with the UC

  • Position will demonstrate: interest and concern for the UC overall, including its programs, services and the facility; ability to promote a conducive atmosphere in the collaboration and motivation of the UC staff; knowledge of The University of Montana practices and procedures; knowledge of standard office practices and procedures; business English, spelling, composition, and grammar; demonstrated customer service skills; ability to make sound decisions and remain calm and professional at all times; effective interpersonal, public relations, and communication skills, including ability to work with a diverse population; ability to take accurate messages; effective time management and organizational skills with the ability to complete tasks while paying attention to detail; skill in the operation of personal computers and related word processing, and database software with the ability to learn other software such as Event Management System (EMS), Blackboard Time Management System, and Banner; ability to generate reports; maintain accurate files; knowledge of supplies, equipment and/or services, ordering, and inventory control; ability to use standard office equipment: copiers, fax machine, typewriters and multi-line phone system; knowledge of state and university personnel policies and procedures;
  • Minimum Job Qualifications

  • High school graduation and two (2) years of related experience, or an equivalent combination of education and experience

  • Effective interpersonal, public relations, and communication skills, including ability to work with a diverse population
  • Demonstrated knowledge of standard office practices and procedures; business English, spelling, composition, and grammar
  • Demonstrated skill in use of personal computers and related word processing, database, and spreadsheet software
  • Proven customer service skills
  • Ability to maintain accurate records and files; maintain strict confidentiality
