The Administrative Associate III provides administrative and financial support as well as office management for Campus Recreation. Duties include, but are not limited to: managing Fitness Center memberships and the billing associated with memberships; updating and managing fee matrix and pass system; recruiting, hiring, training, directing and evaluating the office staff; performing daily cash handling, supply procurement, payroll for student, temporary, and permanent staff employees; assisting with the department accounts payable and receivable as well as the departmental travel budget; assisting with purchasing new technology for program development; working closely with the management team to monitor funds, equipment, logistics, facilities and program offerings; managing the daily deposits from the Fitness Center and Outdoor Program; handling the day to day operation of the scheduling program; managing the facility scheduling and billing; organizing and managing the advertising program; creating, printing and disbursing newspaper ads, posters, flyers, and semester brochures; updating and creating the web pages for the department website; managing the content of webpage and attending Information Technology meetings related to web page content; acting as liaison in addressing any technology issues with internal network operation; managing department databases, including intramurals, facilities, and memberships; acting as liaison and representing Campus Recreation in the Sport Club Union; managers the Sport Club Union’s travel budget in conjunction with ASUM
Position will demonstrate: knowledge of sports, fitness, fitness facilities, and recreation programming; knowledge and experience in gym membership management; knowledge and experience in cash handling policies and procedures and balancing accounts; knowledge of The University of Montana budget system and rules; knowledge of budgeting and financial planning principles and practices; knowledge of POS systems and Griz Card system; ability to learn and apply website design and management skills; ability to navigate UM websites and troubleshoot basic website problems; ability to operate personal computers, related word processing, spreadsheet and multiple database software with ability to learn new software; ability to plan and schedule meetings and arrange logistics for meetings and use of the facility; ability to make travel arrangements; knowledge of supplies, equipment and/or services, ordering, and inventory control; knowledge of State Purchasing policies and procedures; knowledge of standard office practices and procedures; effective written communication skills with the ability to write, edit, and layout documents and materials in a variety of formats suitable for the intended audience; effective public relations, interpersonal and oral communication skills with the ability to establish and maintain positive working relationships with a diverse group of individuals; organizational, time management, and multi-tasking skills and ability to meet deadlines in a busy environment with attention to detail; knowledge of The University of Montana’s policies and procedures; knowledge of supervisory practices and procedures; ability to use standard office equipment: copiers, fax machine, typewriters and multi-line phone systems

| Minimum Job Qualifications |

High school graduation and three (3) years related work experience, or an equivalent combination of education and experience
