Primary Functions

  • The Administrative Associate III will provide support to Mansfield Center office and assist the Director and other staff as necessary in effort to foster understanding of the people and cultures of East Asia. Position will be performing a variety of functions, particularly reception and serving as the first point of contact for interaction with the numerous Mansfield Center programs. Duties include, but are not limited to: maintaining office files, time and attendance, payroll and ordering of supplies and materials; scheduling of classes; supervising of student employees; maintaining the center’s budget; processing or paying bills; filing travel vouchers; working on financial planning with the Director; assisting in creating budgets for training projects; participating in office decision-making, strategic planning, and event planning; examining future prospects in line with funding prospects and short term goals; designing and creating graphics as needed to update and expand the website; conceptualizing, designing and distributing program publicity, event invitations, and correspondence to promote programs; coordinating programs for international government and business officials and student groups; assisting in budget development for these groups; planning and executing program logistics including arranging workshop facilities, coordinating speakers, air ticket purchases, travel plans, coordinating catering and audio/visual support, and making room reservations; overseeing registration of participants, maintenance of registration database and collection of program fees; operating and maintaining office equipment including copiers and fax machines

  • Position will demonstrate: knowledge of the Mansfield Center’s mission and programs; knowledge of The University of Montana budget system and rules; ability to make revenue projections and decisions on optimal strategies for use office funds; demonstrated acquaintance with UM’s International curriculum and faculty resources, specifically those affiliated with East Asia; ability to troubleshoot and support the Center’s information technology systems; ability to learn and apply website design and management skills; demonstrated ability to make acquaintance with foreign cultures and protocols; effective public relations, interpersonal and oral communication skills with the ability to establish and maintain positive working relationships with a diverse group of individuals and cultures; demonstrated knowledge of supervisory practices and procedures; organizational, time management, and multi-tasking skills and ability to meet deadlines in a busy environment with attention to detail; knowledge of The University of Montana’s policies and procedures; knowledge of supervisory practices and procedures; knowledge of budgeting and financial planning principles and practices; ability to exercise sound judgment and act with initiative; ability to operate personal computers, related word processing, spreadsheet and database software; ability to work an irregular schedule including nights and weekends
  • Minimum Job Qualifications

  • High school graduation and three (3) years of related work experience, or an equivalent combination of education and experience
