How do I access U-APPROVE?

The following link will allow campus users to access the application:

The link to U-Approve may be found on http://my.umt.edu/employees under Staff Resources -> UApprove and under the letter "U" on the "A to Z" index (http://apps.umt.edu/search/atoz/u) under "U-Approve".

Approvals

How can I tell who my submitted form is waiting on for approval?

The U-Approve home page contains a “PENDING OTHER'S APPROVAL” category.  By expanding this section, users can view which recipient hasn't yet approved a submitted form.  Each recipient group on the route must complete the approval process before the next recipient is notified via e-mail.

How do I know if a submitted form has been approved?

A confirmation e-mail is sent to the initiator of the form stating that the submission process is complete and the approved submission will now appear in the "APPROVED" menu category.

I was told that a form is waiting for my approval and that I should have received an e-mail.  I can't find an e-mail anywhere.  How do I approve the form?

  1. Look in your junk mail to see if there is an e-mail requiring your approval.  If an e-mail is there, then mark it as not junk and click on the e-mail link.
  2. The e-mail isn't necessarily required for this action.  Users can login to U-Approve and review submitted forms under the “AWAITING MY APPROVAL” category of the home page.

Delete, Revise, and Forward

How do I delete a form that has been submitted?

  1. Sign into U-Approve using your employee NetID.
  2. Go to the “PENDING OTHER'S APPROVAL” list under the "SUBMISSION STATUS" header.
  3. Open the form you would like to delete by clicking on it.
  4. Scroll down to the "ROUTING AND RECIPIENTS" section on the form.  If the form isn't at the final approval level, there should be a "FORWARD" button next to the recipient that’s supposed to approve the submission. 
  5. Click on the "FORWARD" button and send the e-mail to yourself for approval.
  6. Once you receive the e-mail, click on the link embedded in the body of the message. Sign into U-Approve and set the approval status to “Not Approved” and enter a comment, then click the "SUBMIT" button on the form. 
  7. When complete, the form will appear in the “NOT APPROVED” list under the "SUBMISSION STATUS" header on your home page. 
  8. Click on the form to open it.  There should be a "DELETE FORM" button on the top right. 
  9. Click the "DELETE FORM" button and confirm the delete.  The form should be deleted at this point.

I submitted a form that requires a revision.  How do I return to my submission and change it?

  1. Sign into U-Approve using your employee NetID.
  2. Go to the “PENDING OTHER'S APPROVAL” list under the "SUBMISSION STATUS" header.
  3. Open the form you would like to delete by clicking on it.
  4. Scroll down to the "ROUTING AND RECIPIENTS" section on the form.  If the form isn't at the final approval level, there should be a "FORWARD" button next to the recipient that’s supposed to approve the submission. 
  5. Click on the "FORWARD" button and send the e-mail to yourself for approval.
  6. Once you receive the e-mail, click on the link embedded in the body of the message. Sign into U-Approve and set the approval status to “Not Approved” and enter a comment, then click the "SUBMIT" button on the form. 
  7. When complete, the form will appear in the “NOT APPROVED” list under the "SUBMISSION STATUS" header on your home page. 
  8. Click on the form to open it and make the necessary modifications.
  9. Once all modification have been made, click the "SUBMIT" button the bottom of the form to submit it.

A recipient isn't approving my submission or is out-of-the-office for an extended period of time.  How do I send the e-mail to someone else for approval without starting over?

  1. Sign into U-Approve using your employee NetID.
  2. Go to the “PENDING OTHER'S APPROVAL” list under the "SUBMISSION STATUS" header.
  3. Open the form you would like to send to another recipient by clicking on it.
  4. Scroll down to the "ROUTING AND RECIPIENTS" section on the form.  If the form isn't at the final approval level, there should be a "FORWARD" button next to the recipient that’s supposed to approve the submission. 
  5. Click on the "FORWARD" button and send the e-mail to a new recipient.

Feeding to Banner

I submitted a form that should have created a Journal Voucher (JV) in Banner.  When will the JV appear in Banner?

There is a sleep-wake process that picks up JVs from U-Approve and inserts it into a feed table.  Depending on when the final approval went through via U-Approve, the JV will likely appear in Banner and UMDW the next morning.

Who can view my submitted form?

Any user with an employee NetID and password.

How many forms are displayed in each section of the home page?

Up to 15 forms will be displayed for each form type.
