 GrizMail FAQ

The GrizMail login screen has changed. How do I login to OWA now?

  1. At the login screen, enter your User name (domain\NetID) and Password, just as you normally would.
  2. Client options: The type of browser you have will determine your Client options. The Premium client is not available to those with non-Internet Explorer browsers. If you are an IE user, under Client, choose Basic if you have a slower Internet connection, if you are using a screen reader, or if you’re just doing a simple task (checking your email, for example). Choose Premium if you will be doing more complicated tasks and/or need the additional features Premium provides.
  3. Security options: Choose Public if you are on a campus public computer or if someone else may have quick access to the computer. Choose Private if you are the only person with access to the computer. If you have questions about the Client or Security sections before you login, click on the “What’s this?” link.
  4. Click Log On.

After I click the login button on the GrizMail web page, I don't have an option to select Basic or Premium. Why not?

The reason why you don’t have client options is because the browser you are using does not support OWA Premium, only OWA Basic. You must have an Internet Explorer browser or a browser that runs in IE mode in order for OWA Premium to work on your computer.

When would I use OWA Basic instead of OWA Premium?

OWA Basic provides fewer features than OWA Premium, thus it offers faster performance. Use OWA Basic if you are on a slow connection (dial-up). In addition, if you need to use a screen reader OWA Basic will work for you.

When would I use OWA Premium instead of OWA Basic?

OWA Premium offers additional features, similar to the features you use if you have Outlook. This version will be useful for more advanced tasks (creating rules, reminders, marking items as read/unread). Only those with Internet Explorer browsers will have an option between the Basic and Premium clients.

Why does the login page want to know if I am on a public or private computer?

If someone else can access the computer, as in a computer lab, different security measures are in order. These measures include authentication and a shorter length of non-active time before timing out. So to provide adequate security measures, you need to identify the computer as Public or Private.

In OWA, your information is stored in a cookie, not in the browser, as it was in the previous version. This means that your login information will be cleared when you log out of OWA. There is no "remember my password" option.

In the OWA login screen, under Security, what is the difference between Public or shared computer and Private computer?

Select Public or shared computer if you use Outlook Web Access on a public computer. Your OWA session will automatically time out in 15 minutes if no activity occurs on your mailbox. Typing in an item (message, appointment, contact) is NOT considered activity, so if you are working on a long message, save it about every 5-7 minutes to let the server know that you are still active and working. Activity includes: refreshing the window, opening an item, sending a message, saving an item, switching folders, and selecting a name from the address book.

Select Private computer if you are the only person who uses this computer. Your Exchange server will allow a longer period of inactivity (24 hours) before logging you off. Please note that if you share your computer with others and do not logout of OWA when finished, they may be able to use your account until the 24 hour period is reached. Be sure and logout when finished!

Interface Features: Reading layout mode, reminder window

How long will my GrizMail account remain active?

GrizMail accounts are offered to all currently enrolled university students. Once you are no longer an enrolled student, your GrizMail account remains active until shortly after the 3rd week of the semester that follows your final semester. At this time, your email resources are no longer available to you.

Why should I use GrizMail?

Your UM GrizMail account serves as the official means of communication between you and The University of Montana. Upon enrollment, all students are provided with a GrizMail account. Important University business is conducted via this email account, including routine information about registration, tuition and fees notifications, and urgent announcements and notices from President Dennison and the UM administration. In addition, your GrizMail account is an easy way for you to quickly and efficiently correspond with your professors and other University personnel.

How do I change my NetID password?

The University offers an online password reset option for your NetID password. If you have forgotten your password, you must have already set a security question in order to utilize this online process.

The online password reset on OneStop.umt.edu, pertains to all NetID logins: OneStop online services, remote library resources, wireless, IT computer labs, and Blackboard as well as your GrizMail account. For detailed instructions on how to set a security question and change your password, see the Using GrizMail instruction sheet.

To ensure your privacy you are encouraged to make your password complex with the use of mixed case letters and numbers. It is possible to create complex passwords that are easy to remember but much more difficult for another person to guess - for example, 'm0ntana.' , PassWord', and UpD0wn would all qualify.

Note: In order to reset your password online you will have to answer a security question which can be set through OneStop at http://onestop.umt.edu. It is important to establish the answer to the security question BEFORE you forget your password – so do this the first time you sign on to OneStop.

If you still have password problems, please go to IT Central in Social Science 120 and bring a photo ID with you.

Why do I need to answer a security question to change my password online?

The security question helps identify you as the owner of the NetID. It is important that you, and only you, have access to your accounts on email, Blackboard and other systems. Social security numbers and university IDs can be stolen – the security question is something only you can answer.

How do I forward my GrizMail account?

In order to forward your GrizMail account you must use Internet Explorer 6 or above, or Netscape 8 using IE settings, as these are the only browsers that offers access to Rules feature where forwarding is set.

While the easiest way to receive electronic University communication is by using the University's email service directly, an individual may choose to have their University email forwarded to another email address at his/her own risk . IT will not be responsible for the handling of email by outside vendors or by departmental servers. Having email forwarded does not absolve a community member from the responsibilities associated with official communications sent to his or her University email address.

If you understand the risks involved and still want to forward your messages follow these steps:

  1. Login to your GrizMail account using IE 6 or above, or Netscape 8
  2. Click on the Rules button in the navigation pane on the left hand side of the screen.
  3. Click on the New button on the Rules toolbar.
  4. At the bottom of the Edit Rules Window click on the 'Forward it to' button and type in the complete email address where you want your mail forwarded.
  5. Click on the Save and Close button on the Rules toolbar.

What are the risks of forwarding my GrizMail account?

UM is confident that email messages sent within the University arrive at their destination and show up in the inbox of the recipient. UM is less confident that email sent outside the University actually arrives and can be read by the individual. When you forward your email from GrizMail to another account UM cannot guarantee delivery of the mail, and you are at the risk of not receiving important information about registration, tuition and fees notifications, and urgent communication from President Dennison and the UM administration for which you remain responsible and accountable.

The sometimes unpredictable nature of the Internet, spam filters, lack of storage space, are all factors which decrease our confidence that email will arrive as expected. For example some vendors have current practices that allow the blocking of all email from a domain to all users of that service regardless of the validity of the message (i.e. AOL, Yahoo).

When you set your own forward, you select whether a copy is retained in your GrizMail account or not. If you do not maintain a copy of the email in your GrizMail account then the email cannot be backed up and if you accidentally delete the email it cannot be retrieved. Again, you are at the risk of not receiving important business information or urgent communication from President Dennison and the UM administration for which you remain responsible and accountable.

Additional concerns about forwarding email from OWA to another email address:

The email subject will display FW: indicating that the email has been forwarded. The email sender on forwarded emails will be your GrizMail account, as the email is being sent to your GrizMail account and then automatically forwarded (not redirected) to your personal email account. This will require a little attention when responding to emails forwarded from your GrizMail account, as simply choosing to Reply will list your GrizMail account as the intended recipient.

How will I know when I am approaching my GrizMail quota?

When your mailbox reaches 45M you will begin receiving daily emails notifying you of your mailbox size. Please check your Deleted Items, Sent Items and Drafts folders for items you can delete.

What happens when I reach my GrizMail quota?

Once you have reached your quota, you will no longer be able to send email until you bring your mailbox under quota. You will be able to receive email until you reach 100M. At that point in time all receipt of email will be stopped. This does not absolve you from the responsibilities associated with official communications sent to your University email address.
