ADA Accommodations
Employees and applicants with a disability have the right to request a workplace accommodation under the Americans with Disabilities Act and the Montana Human Rights Act. HRS works with employees and supervisors through an interactive process to identify and implement reasonable accommodations. This page covers who qualifies, how to request an accommodation, and what to expect.

You may have a disability if you:
- Have a physical or mental condition that substantially limits a major life activity such as walking, talking, seeing, hearing, or learning
- Have a history of a disability such as cancer that is in remission
- Are believed to have a physical or mental impairment that is not transitory, meaning lasting or expected to last more than six months
Process

You or your representative can request an accommodation verbally or in writing at any time. There is no required form to initiate a request. You may:
- Speak directly with your supervisor, or
- Contact the HRS ADA Accommodation Coordinator directly, or
- Complete and submit the Reasonable Accommodation Request Form
Once a request is received, HRS will respond in a timely manner. You do not need to use the word "accommodation" or cite the ADA to make a request. If you communicate a need related to a medical condition or disability, that is sufficient to initiate the process.

HRS uses an interactive process, meaning an HRS representative, your supervisor, and you work together to determine what reasonable accommodation is needed and what can be implemented. This is a collaborative conversation, not a formal hearing.
HRS will gather whatever information is necessary to process your request. This may include documentation from a health care provider describing your disability and need for accommodation. In some cases, the disability and need for accommodation are obvious and no additional documentation is needed. The accommodation must be reasonable, effective, and take both your needs and the University's operational needs into consideration.

Once an accommodation is agreed upon and implemented, you and your supervisor monitor its effectiveness. HRS documents the accommodation and maintains it in a confidential file separate from your personnel file.
If you work directly with your supervisor to arrange an accommodation without involving HRS, the accommodation must still be reported to HRS for documentation. If circumstances change or the accommodation is no longer effective, contact HRS to revisit the process.

No. You are not required to disclose the specific nature of your diagnosis. You do need to provide sufficient information to establish that you have a disability and explain the functional limitation that requires accommodation. HRS will advise on what documentation is needed for your specific situation.

Your supervisor does not have the authority to unilaterally deny an accommodation request. All requests are processed through HRS. However, an accommodation may be denied if it would impose an undue hardship on the University or if it would fundamentally alter the nature of your position. HRS will work with you to explore alternatives if a specific accommodation cannot be approved.

Contact HRS at any time if your condition changes, your job duties change, or your current accommodation is no longer effective. The interactive process can be revisited as circumstances evolve.

Yes. If you are requesting an accommodation related to your student employment position, your request is handled through HRS using the same interactive process as other employees. Contact the HRS ADA Accommodation Coordinator to begin the process.
If you need accommodations related to your academic program or student life, those are handled separately through the Office for Disability Equity.
