Checkout Instructions
- To prepare for checkout, residents will need to have all belongings removed from their room. The room must be cleaned thoroughly including dusting, sweeping, mopping, taking trash out, and taking all cardboard to the proper recycling areas.
- Cleaning supplies including brooms, vacuums, general purpose cleaners, rags, buckets, mops, and garbage bags are available for cleaning. Please see your hall’s Area Desk for more information.
- Please note that UM Housing maintenance staff will complete a thorough inspection and cleaning throughout the summer. Please check your GrizPortal account during the summer as additional charges for cleaning or damages may be assessed after maintenance staff complete their process.
- Residents must complete a self-checkout and return their access card (if applicable) when checking out. Do not your self-checkout until you are ready to leave the building for the last time this semester as your access will be deactivated.
- If the Desk is closed when you need to leave and also return an access card
- Each desk will have a supply of checkout envelopes, take one and fill in the top portion of the envelope (highlighted in yellow)
- Place your room card(s) in the envelope
- Place the envelope in your Area Desk’s drop box.
- If you do not complete a proper checkout the following charges will be assessed to your GrizPortal account:
- $25.00 lost/not returned/returned wrong card charge for room cards
- $40.00 improper checkout fee if a resident does not complete a proper checkout
Self Check-Out Steps
- Scan the QR Code located at your Area Desk
- Log in to your myHousingPortal and click on the Self Check-Out icon
- Submit your self check-out
- If you were issued an access card fill out a check-out envelope and, place the card inside
- Place the envelope in the area desk drop box
Tips for a successful checkout
- What is a "proper checkout"? For a checkout to be considered proper you must have completed the Self Check-Out process in your myHousingPortal, and completed a Checkout Envelope when you returned your room card (if applicable). If you leave for the semester without completing a checkout, you will be charged a $40.00 improper checkout fee, in addition to any applicable charges for not returning your room access card. Not returned/returned wrong access cards are $25.00, including any temporary cards you may have signed out.
- Make your travel/living arrangements at least a week in advance. If you need to sign up to stay past noon on closing day, submit a Summer Housing Application in your myHousingPortal by April 30. Be sure to have a plan for where you will be going or when your transportation is available. All access to your room and building will be shut off at noon on closing day May 9.
- Cleaning always takes longer than planned. Be sure to plan ahead and complete all cleaning well before noon. Your access will turn off at noon and you do not want to be locked out halfway through cleaning.
- Donate gently used items such as clothing, small appliances, unopened food, bedding, and school supplies to Campus Thrift, May 7 - May 8 from noon - 4 pm (times may vary slightly) and May 9 from 9 am - noon. Collection sites will be near most Area Desks. View the Sustainability website for more information and this map to locate the closest drop off location to you.
- Before you leave
- Make sure all windows are closed and locked
- leave the room door locked and turn off the lights
Reminders Once You Are Checked Out
- Update your mailing address on GrizPortal. Mail is not held over the summer. Any first-class mail received can be forwarded to the mailing address on GrizPortal. If you have not updated your mailing address, first-class mail will be returned to sender on arrival. Non-first-class mail such as newspapers and magazines cannot be forwarded, and are therefore thrown away. Please make sure your new address is updated with senders, particularly online services (Amazon, eBay), family, friends, banks, newspapers, magazines, cell phone companies, etc.
- Pay outstanding balance on your GrizPortal account. Fees such as parking tickets, temporary room keys, and health charges can add up over the semester. You will want to make sure these are paid off to avoid additional interest charges and/or potential Fall registration problems. Please note that cleaning and damage charges from checkout inspections are assessed throughout the summer. Therefore, you should check your GrizPortal frequently to pay those charges.
