Checkout Instructions

  • To prepare for checkout, residents will need to have all belongings removed from their room. The room must be cleaned thoroughly including dusting, sweeping, mopping, and taking trash out.  For a complete checklist for cleaning, please see the Semester Checkout & Cleaning Guide
  • Please note that UM Housing maintenance staff will complete a thorough inspection and cleaning throughout the summer. Please check your CyberBear account during the summer as additional charges for cleaning or damages may be assessed after maintenance staff complete their process. 
  • Residents must complete a checkout and return their mailbox key and room access card when checking out. Do not return your Griz Card. Do not return your card or mail box key before you are actually leaving as your access will be deactivated.
  • If you do not return your access or complete a proper checkout the following charges will be assessed to your CyberBear account: 
    • $25.00 lost/not returned/returned wrong card charge for room cards
    • $100.00 lost/not returned/returned wrong key charge for mail box keys
    • $40.00 improper checkout fee if a resident does not complete a proper checkout 
  • When you are ready to leave and checkout, simply go to your area desk.
    • If there is staff at the desk, let them know you are ready to checkout. They will ask you a few questions, collect your room card and mailbox key, and have you sign and date the checkout envelope.
    • If staff is not at the desk take one of the Express Checkout Envelopes, fill in your personal information at the top, place your room card and mailbox key in the envelope, sign and date it, seal it, and place in the checkout drop box. DO NOT put in the outgoing mail box, UM Housing does not have access to retrieve those and you will be charged the lost/not returned fees for your room card and mailbox key and the improper checkout fee. 

Tips for a successful checkout

  • What is a "proper checkout"? For a checkout to be considered proper you must have signed and dated a Checkout Envelope when you returned your mailbox key and room card. If you leave for the semester without completing a checkout, you will be charged a $40.00 improper checkout fee, in addition to any applicable charges for not returning your mailbox key and room access card. Not returned/returned wrong access cards are $25.00, including any temporary cards you may have signed out. Not returned/returned wrong mailbox keys are $100.00.
  • Make your travel/living arrangements at least a week in advance.  Be sure to have a plan for where you will be going or when your transportation is available. All access to your room and building will be shut off at noon on closing day. If you need to sign up to stay past noon on closing day, submit a Summer Housing Application in your myHousingPortal by April 29.
  • Cleaning always takes longer than planned. Be sure to plan ahead and complete all cleaning well before noon. Your access will turn off at noon and you do not want to be locked out halfway through cleaning. 
  • Donate gently used items such as clothing, small appliances, unopened food, bedding, and school supplies to Campus Thrift, May 9 - May 10 from noon - 4 pm (times may vary slightly) and May 11 from 9 am - noon . Collection sites will be near most Area Desks. View this map to see the closest collection site near you. 

Reminders Once You Are Checked Out

  • Update your mailing address on CyberBear. Mail is not held over the summer. Any first-class mail received can be forwarded to the mailing address on CyberBear. If you have not updated your address, first-class mail will be returned to sender on arrival. Non-first-class mail such as newspapers and magazines cannot be forwarded, and are therefore thrown away. Please make sure your new address is updated with senders, particularly online services (Amazon, Ebay), family, friends, banks, newspapers, magazines, cell phone companies, etc.
  • Pay outstanding balance on your CyberBear account. Fees such as parking tickets, temporary room keys, and health charges can add up over the semester. You will want to make sure these are paid off to avoid additional interest charges and/or potential Fall registration problems. Please note that cleaning and damage charges from checkout inspections are assessed throughout the summer. Therefore, you should check your CyberBear frequently to pay those charges.
